Waiting List

If a client’s preferred time isn’t available, you can add them to the Waiting List for that day. This creates an accessible list of clients waiting for an opening, allowing you to fill any cancellations quickly. By accommodating clients on their desired day, you can improve both schedule efficiency and customer satisfaction.

Adding to the Waiting List

  1. Navigate to the client’s desired date with limited availability.
  2. Click the Waiting List Icon on the right side of the appointment book.
  3. In the side panel, click Add.
  4. Use the Customer Search bar to find and select the customer either by name, phone number or email address.
  5. Use the Service Search bar to select the service they wish to book.
  6. Add a Comment to specify the client’s time preferences or any other relevant details.
  7. Click Save to add the client to the waiting list.

Edit a Waiting List Entry

Once you create a waiting list entry you are able to edit the date or comment attached to the entry.

  1. Click the Waiting List Icon .
  2. In the side panel, click the three dots next to the entry you want to edit.
  3. Select Edit.
  4. Update the date or adjust the comment as needed. For example, change the date if no availability opened up, but the client is flexible for another date.

Note: The client will receive a notification informing them that no opening was found for their original date, but they have been added to a new date.

  1. Click Save to finalize the changes.

Managing a Waiting List Entry

Gain quick access to a customer’s upcoming bookings and other waiting list entries to help prioritize clients with no current appointments or offer alternative availability if nothing opens up for their initial request.

  1. Click the Waiting List Icon .
  2. In the side panel, click the three dots next to the entry you want to edit.
  3. Select Future Appointments & Waitlist Dates to view the client’s upcoming bookings and waiting list entries for better decision-making.

Alert a Customer from the Waiting List on Availability

Quickly notify waitlist customers when a time slot becomes available, prompting them to confirm the booking. Alerts are sent via email, SMS, or WhatsApp, depending on your communication add-ons.

  1. Click the Waiting List Icon .
  2. In the side panel, click the three dots next to the entry you want to edit.
  3. Select Availability Alert. The client will immediately receive an alert to confirm if they want to proceed with booking.

Mark a Waiting List Entry as Booked or Removed

Track the success of waiting list entries by marking them as Booked if scheduled or Removed if not. In the customer profile you’ll be able to see all the waiting list entries of a customer and whether they were booked or removed.

  1. Click the Waiting List Icon .
  2. In the side panel, click the three dots next to the entry you want to edit.
  3. Select Booked. The entry is removed from the waiting list and marked as booked in the customer’s profile.

Remove a Waiting List Entry

  1. Click the Waiting List Icon .
  2. Click the X next to the entry you wish to remove. This indicates the client was not booked.
  3. Confirm by clicking Yes in the pop-up.
