Rooms

The Rooms feature in InFlo gives you enhanced control over bookings by enabling you to manage treatment room availability, specify the services each room can accommodate, and track essential supplies with ideal stock levels per room. This setup ensures your team receives low-stock alerts, so critical supplies are always on hand, preventing disruptions during treatments.

To access this feature, use the search bar in the top banner and look for “Rooms”

Create a New Room

  1. Click Create
  2. Input Basic Room Details

* NameEnter the room’s name.
PriceInclude price if your business charges for use of rooms. 
* DescriptionAdd a description for the room.

* Denotes required input. 

  1. Click Save

Room Supplies

Assigning supplies to each room in the Supplies tab of rooms enhances inventory control by providing detailed insights into stock levels not only across your entire business but also for individual rooms. This feature allows you to track supplies as generally or specifically as you prefer—whether it’s common items like towels and gloves or more detailed inventory like massage oils, skincare products, or any treatment-related items stocked in each room. 

Supply Listing in Rooms

In this tab, view all supplies assigned to the room along with their actual, ideal, and alert quantities. Supplies marked with a red warning symbol are critically low and need restocking. Use the three dots menu next to each supply to quickly edit, remove, or view the supply history log for detailed tracking and adjustments.

NameDescription
SupplyName of supply. 
Actual QuantityCurrent stock of the item in the selected room. Note: Supplies in rooms count as units. 
Ideal QuantityThe ideal amount of this stock you want to have in the treatment room. (ex: If you want to have two bottles of botox and botox comes in units of 100, your ideal quantity should be 200)
Alert QuantityThe amount you want to receive “Yellow” alert for in your Refill Tasks screen in the InFlo App. 
This item has fallen below your minimum quantity established. 
Edit the quantity settings for this supply. 
Remove the supply from the room. 
Access the complete history of a room’s supply to see when, by whom, and why an item was adjusted, refilled, or used in a service.

Adding Supplies to Rooms

  1. Use the search bar in the top banner and look for “Rooms” 
  2. Select your desired room.
  3. Click Add to start configuring a supply for the room.
  4. Use the Search Bar to find and select the supply.
  5. Input Supply Room Details. These configurations apply only to this room, allowing for unique settings across rooms for the same supply.

* Actual QuantityEnter the current stock level of this item in the room.
* Ideal QuantityEnter the optimal stock level to maintain for this room.
* Alert QuantitySet the stock level for a yellow caution alert in your InFlo Provider App, notifying you that the supply is running low. 
* Min QuantitySet the stock level for a red alert, indicating the supply is critical and needs immediate restocking. Red alerts show as immediate refill needs in your Refill Tasks screen in the InFlo Provider App. 

* Denotes required input. 

  1. Click Save.

Adding Services to Rooms

Specify which services can be performed in each room to streamline bookings.

  1. Use the search bar in the top banner and look for “Rooms” 
  2. Select your desired room > click More Options 
  3. Click the Add Services button to open service options.
  4. In the pop-up, Select Services by category, using “Select All” for efficiency if needed. Changes are saved automatically.
  5. Exit by clicking “X.”
