Booking Appointments

Booking appointments is essential for service-based businesses, and we’ve streamlined the process to ensure your staff can schedule appointments quickly and efficiently. Our user-friendly system minimizes hassle and maximizes productivity, allowing your team to focus on delivering exceptional service.

Booking a Single Appointment: New Customer

  1. Select Date & Time: Choose the booking date and click the preferred time slot to open the booking side panel.
  2. Create New Appointment: In the side panel, select Create New Appointment.
  3. Add New Customer: Click the add icon above the search bar. Enter the customer’s email and phone number to ensure they aren’t already in the system, avoiding duplicates. If a match appears, close the pop-up and search for the client instead.
  4. Complete Customer Info: If no match is found, click Continue and fill in additional fields like first name, last name, language, gender, and date of birth. Click Save.
  5. Add Payment Details: If required, add a card by entering the card details and click Save.
  6. Select Service: Search for and select the service to book. 
  7. Select Room: If a room is needed, an available one will be assigned automatically; red entries in the dropdown indicate unavailable rooms.
  8. Apply Specials & Additional Settings: If a special promotion applies, select it from the specials field. Under Additional Settings you can add notes, visible to all staff if needed. You can also make the appointment recurring.
  9. Finalize Booking: Review details and click Create Appointment to complete.

Booking a Single Appointment: Existing Customer

  1. Select Date & Time: Choose the booking date and click the preferred time slot to open the booking side panel.
  2. Create New Appointment: In the side panel, select Create New Appointment.
  3. Search for Existing Customer: Search for the existing customer by phone number, email, or name.
  4. Select Service: Search for and select the service to book. 
  5. Select Room:  If a room is needed, an available one will be assigned automatically; red entries in the dropdown indicate unavailable rooms. Iif no room is available, decide whether to proceed with a conflict or cancel the booking.
  6. Apply Specials & Additional Settings: If a special promotion applies, select it from the specials field. Under Additional Settings you can add notes, visible to all staff if needed. You can also make the appointment recurring, click here to learn how.
  7. Finalize Booking: Review details and click Create Appointment to complete.

Booking Multiple Appointments

You have the ability to book multiple appointments for a customer for the same day.

  1. Follow Steps 1-7 for Single Appointment: Refer to the steps for booking a single appointment for both new and existing customers.
  2. Add Another Appointment: After clicking Create Appointment for the first booking, a pop-up will prompt you to finalize or add another appointment. Select Add Appointment.
  3. Pre-Selected Customer: The customer from the previous booking will remain selected.
  4. Select Service: Search for and choose the service for the additional booking.
  5. Assign Room: If required, an available room will be automatically assigned; red entries indicate unavailable rooms. If no room is free, decide to proceed with a conflict or cancel the booking.
  6. Apply Specials & Additional Settings: Choose any applicable specials and, under Additional Settings, add notes (visible to all staff, if needed). You can also set the appointment as recurring.
  7. Finalize Booking: Review details and click Create Appointment.
  8. Repeat as Needed: Continue steps 2-7 to book all required appointments for that customer on the same day.

Booking Recurring Appointments

  1. Set Appointment Details: Enter all necessary details, including customer, service, and room.
  2. Access Recurring Options: Click Additional Settings, then locate the Recurring dropdown.
  3. Select Recurrence Frequency: Choose Weekly or Monthly for the appointment repetition.
  4. Enter Duration: Specify the number of additional appointments to schedule.
  5. Finalize and Create: Click Create Appointment, which will confirm today’s booking along with all recurring appointments.

For example, if you book Jane Doe for a Hydrafacial on Tuesday at 5 p.m. in Room #1 with Employee Isabel, and set it to recur weekly for four more sessions, Jane will be automatically booked for the next four Tuesdays at the same time, with the same details, so 5 total appointments counting the one you currently booked.
